Job Description:

Are you a detail-oriented, driven individual looking to gain valuable experience in a mission-driven organization? Do you have a passion for administrative excellence and supporting meaningful work?

As an Administration Apprentice at Spark-Y, you will play a crucial role in supporting our organization's operations. You'll work closely with our Executive Admin team and Office Administrator to manage administrative tasks, assist with financial duties, and contribute to the smooth running of our organization. This role offers a unique opportunity to develop your skills, grow professionally, and make a real impact in a growing non-profit.

Key Responsibilities:

  • Manage and organize electronic and paper files, ensuring efficient information retrieval

  • Assist with document preparation and formatting for various departments

  • Enter and update data in databases and spreadsheets, maintaining accuracy and completeness

  • Conduct research on relevant topics, including industry trends and best practices

  • Compile and summarize findings into reports or presentations

  • Assist with basic bookkeeping tasks, including recording transactions and reconciling accounts

  • Help prepare invoices, track payments, and manage expense reports

  • Support the financial team with budget tracking and financial planning

  • Handle sensitive information with the highest level of discretion and confidentiality

  • Adhere to the organization's policies on data protection and non-disclosure agreements (NDAs)

Preferred Qualifications:

  • 18-30 years of age

  • Currently enrolled in or recently graduated from a college or university program (preferably in business administration, finance, or a related field)

  • Basic understanding of administrative and clerical procedures

  • Proficiency in Google Suite (Drive, Docs , Sheets, etc.)

  • Strong organizational skills and attention to detail

  • Ability to handle confidential information with integrity

  • Prior experience in an office setting or with data entry is a plus, but not required

Compensation & Benefits:

  • $500 stipend upon training completion (50 hours); $15/hour thereafter

  • Metro Transit pass available upon request

  • Flexible hours to accommodate academic schedules

  • Mileage reimbursement for qualifying work-related travel
