Spark-Y is seeking an Executive Assistant & Sales Support Specialist who can seamlessly blend high-level administrative support with stakeholder engagement and sales strategies. This unique position will serve as the right hand to our Executive Director, while also playing a crucial role in driving our organization's growth and impact.
As our Executive Assistant & Sales Support Specialist, you will spend about 60% of your time supporting the day-to-day operations of the Executive Director and Spark-Y's Senior Leadership Team. This includes complex calendar management, travel arrangements, preparing board meeting materials, and drafting important communications. You will be the gatekeeper, ensuring that our Executive Director's time is optimized for maximum organizational impact.
The remaining 40% of your time will be dedicated to leveraging your sales expertise to support our stakeholder engagement initiatives and securing new opportunities. You will manage our CRM system, track our engagement pipeline, and apply your closing skills to help us achieve our goals - whether that's securing new partnerships, advancing program initiatives, or supporting our fundraising efforts indirectly.

JOB RESPONSIBILITIES
Executive Support (60%)
Manage the Executive Director's calendar, including scheduling meetings with multiple stakeholders from various affiliations
Handle correspondence and communications on behalf of the Executive Director
Prepare and edit documents, reports, and presentations
Assist with board meeting preparations and follow-up tasks
Manage special projects and initiatives as assigned by the Executive Director
Support proposal creation and submission processes
Stakeholder Engagement and Sales Support (40%)
Manage and maintain the organization's CRM system, ensuring data accuracy and timely updates
Implement and maintain systems for tracking and analyzing stakeholder interactions and outcomes
Track and report on stakeholder engagement metrics and pipeline progress
Assist in managing relationships with key stakeholders, including scheduling follow-ups and maintaining communication cadences
Support the Executive Director in preparing materials for high-level meetings and events
Coordinate with other teams to streamline processes and improve efficiency in stakeholder communications
Support the creation and execution of outreach and development strategies to achieve organizational goals
Support the creation and submission of RFPs (Request for Proposals)
Monitor and report on key performance indicators (KPIs) related to the sales process
Identify and qualify new opportunities for engagement or partnership
PREFERRED QUALIFICATIONS
Bachelor's degree in Business Administration, Communications, Sales, or related field
3-5 years of experience in an executive assistant role, preferably with a strong sales or business development background
Previous work in a non profit organization is a benefit but not required.
Proven track record in sales or customer relationship management, with a focus on building and maintaining professional relationships
Experience with sales funnels, pipeline management, and closing techniques
Proficiency in CRM systems
Strong organizational skills with the ability to manage multiple priorities simultaneously
Discretion in handling confidential information
COMPENSATION & BENEFITS:
Annual Salary: $55,000 - $75,000 per year, commensurate with experience
Annual Raise: Market calibration adjustment and raise eligibility based on performance at the start of each fiscal year.
PTO: 12 days + 7 personal / sick days (2 day PTO accrual annually).
Holidays: Most Federal holidays as well as extended breaks for Thanksgiving week, winter break, and the week of the 4th of July.
Individual Coverage Healthcare Reimbursement Arrangement (ICHRA): Spark-Y provides a monthly tax-free allowance of $200 to reimburse you for qualified medical expenses and individual health insurance premiums.
Tele-Health Enrollment: Provides access to basic consultation and prescription services.
Tax-Advantaged Retirement Plan: Eligible to participate in our 401(k) retirement plan after a 90-day probationary period. Spark-Y offers a 50% match on your contributions, up to 3% of your salary (effectively a 1.5% match).
Maternity / Paternity Policy: Following FMLA unpaid leave (with your job protected and still available after a 12 week leave period), Spark-Y also offers 3 paid weeks (15 business days) during this period.
Mileage Reimbursement Policy: Spark-Y provides mileage reimbursement for qualified work-related travel at $0.30 per mile. Eligibility for mileage reimbursement includes required work-related trips / errands beyond a regular work commute.

The position supports but is not directly responsible for development / fundraising activities
Availability to monitor communication channels during business hours is essential
The ability to represent the organization professionally and handle external stakeholder communications is crucial
